Unlike typical workshops that create one-time meetings where deliverables disappear into afterwork, Sprint creates a structured process of engagement. We introduce concepts, gather individual input before collaborative work, and ensure every voice is heard. Following the principle that "People tend to support what they have co-created," we balance creative exploration with clear deadlines to prevent analysis paralysis.
Sprint also establishes a routine for organizations to meet weekly on strategic topics - creating some of the most important meetings from our experience.
What Does a Sprint Look Like?
When: Start of the Sprint
Duration: 1-1.5h Online Meeting with Facilitator/s + Individual input (1-5h depending on the topic)
Form: 1. Onboarding call to get to know each other, explain the concepts, introduce homework & answer any questions 2. Individual work of team members according to the facilitators' instructions
Deliverable: Homework
Goal: Make sure we have a productive workshop, by aligning before
When: After a Week from the Onboarding or at scheduled time
Duration: 3-5h depending on the topic
Form: Online/Offline meeting.
Session content is based on pre-work. The content of the final sessions will be built on all deliverables created during the process.
Goal: Each workshop has a clear Objective and makes sure the team is ready to make decisions until the end of Sprint
When: Week after Workshop
Duration: 2h of individual work + 2h of group work during a team meeting
Form: 1. Online/Offline meeting w/o facilitators. 2. Team takes ownership over results closing open topics and tasks set by the facilitators during the workshop.
Goal: Wrap up all remaining taks and align as a team on the outcomes
When: Week after Team Meeting
Duration: 1-2h
Form: Online Meeting with Facilitator/s
Going through all the deliverables and aligning around results. Calibration becomes an Onboarding to the next Sprint.
Goal: Revisit all decision made during the Sprint. Make sure they are final. Introduce the next sprint
Why working in a Sprint?
Typical Workshops create a one time meeting where a lot of things go into the afterwork and often do not produce results. We decided that creating a structure of work, where we introduce and get to know each other, gather input from each individual before we get our hand dirty creates more engagement. Following the saying of “People tend to support what they have co-created” we make sure that each opinion is voiced. We also know that creative work requires a bit of time yet needs to prevent analysis paralysis. That’s why there is a clear deadline for us to finish a chunk of the process.
Sprints also create a routine among an organization to meet weekly to work on something together or discuss strategic topics. From out experience those meetings are one of the 4 most important ones.
What are roles and responsibilities of facilitators:
- Build a workspace for the collaboration, counting all important information.
- Establish communication channels with the team (Slack is a preferred)
- Lead the onboarding meeting, introduce key concepts and answer all questions around the process.
- Prepare and send out pre-work before the workshop.
- Comment of initial results of the pre-work if submitted in advance.
- Combine pre-work outcomes and prepare the material for the workshop.
- Prepare and facilitate group process during the workshop. Making sure that agreed workshop results are achieved.
- Send out post work assignments.
- Lead calibration meetings to summarise work done so far and set next steps for the management team to take.
- Comment and give feedback on final outcomes.
What are roles and responsibilities of process participants:
- Completing pre-work assignments and answering all questions. The task is completed after sending pre-work materials back to Facilitator.
- Gathering input/work in a given workspace and preparing it for easy presentation to the rest of the members. The task is completed after sending pre-work materials back to Facilitator.
- Creating the final, revised version of workshop results and putting them in the right form. Task is completed after sending the final results to the facilitator, for feedback.
- Familiarising outcome of previous sessions before the next session.
- Make strategic decisions
- Surface all important issues, hesitations and speak up about what is important
Based on the Plan agreed upon, both parties take responsibility for the work. Delays in homework and current work may influence the pace of work.
